Desktop: How To Create A Jigsaw Session

 

Q: What types of sessions are available?

A:  There are three types of sessions: 

    1. One Time (Same session with “Start/End Date” as the same date)
    2. Open (Same session with “Start/End Date” over a date range)
    3. Recurring (Multiple sessions with “Start/End Date” over a date range)

SESSION SETUP

STEP 1: From the My Sessions page, choose “Create Session”.

 

 

 

Name:

  • The name of the session.

Type:  

  • Live = Synchronous Session - Requires a Host and/or Presenter to be in the session.
  • On-Demand = Asynchronous Session (add on feature) - Allows any attendee 24/7 access. This is not a live session.

Series:

  • One Time = Session meets one time on specific date and time.
  • Open = This spans over a date range and time. Creates one session that is open during the designated date and time.
  • Recurring = This spans over a date range and time but creates multiple Recurring Instances vs. a single session. A Recurring Master is where all assets are loaded. The Recurring Instance is where all attendees are invited or links created.

Session Date:

  • Depending upon the series selected start and end dates are available.

Start and End Time:

  • The time the session is to start and end. Sessions may exceed the end time if attendees are currently in it. However, no one may join beyond the end date and time unless the "Can Be Joined Until" date has been extended.

Can Be Joined Until Date

  • Allows attendees to join the session from the Past Sessions tab until this date. This type of session does not require a Host and/or Presenter presents and all live collaboration tools are disabled.

Allow Attendee To Join Session Early:

Any individual who has been invited to the session with only the "Attendee" role does not see "join" buttons until 10 minutes prior to the session's start time. If they attempt to join during that 10 minute window and the Host and/or a Presenter is not already in the session, they will get a session countdown timer. If the Host and/or a Presenter is already in the session, the attendee may join.

If the Host wants the "join" buttons to appear greater than 10 minutes prior to the start of the session, add that time in this field.

 


 

 

Arrangement:

  • 2 Pane - Uses panes 1 and 2 along with an optional whiteboard.
  • 4 Pane - Uses all four panes of the session.

Audio Method:

  • Use Computer Audio - Utilizes VoIP.
  • Use Integrated Audio - Utilizes Jigsaw's built in phone audio. (add on option)
  • Use Your Conference Number - This is an external audio method and is not captured in Jigsaw recording.

Group Noteboard:

  • By default this is not locked. This feature can be adjusted during setup or from within the live session.

Main Room Chat:

  • By default this is not locked. This feature can be adjusted during setup or from within the live session.

Allow Private Chat:

  • If checked, all attendee can chat with others. This feature can be adjusted during setup or from within the live session.

Auto Start / End Recording:

  • If checked, the Server Side Recording (SSR) will start automatically upon entry of the first Presenter into the session. If this feature is turned on, the recording can only be stopped when the Host and/or all Presenters exit the session. 
  • If unchecked, SSR is manually started and stopped by the current Presenter. (We recommend this method of recording)

Schedule Followup With:

  • When an email is entered in this field, all session attendees will see a calendar in the toolbar of their Jigsaw session which allows them to send an email to the email in this field.

Identify How Names Appear In Session:

Denotes how names appear in the Attendee List of a Jigsaw session.

  • First Name, Last Name
  • First Name, Last Initial
  • First Name Only

Room Check:

  • The current Presenter initiates a status check in a session. By default all attendees have 1 minute to respond. The Host may adjust that time here.

Schedule Room Check:

  • Should any attendee sit idle for more than 60 minutes, an automated Room Check is sent by the system. The Host may adjust the automated time here.

 


 

Invitation:

 

  • Invitation List: Only Invited Attendees (Host must add attendee's email to the session invitation list)
  • Link: Password Requested (Open to anyone with the the session link and the individual will be required to enter their Jigsaw Profile Password).
  • Link: Password Not Requested (Open to anyone with the session link).

Outlook Invitation: This downloads a .vcs file that the Host can send to invitees. This option is intended to work with the session link but does not affect the session link in any manner. It simply creates a .vcs file.

Invitation - Contact Phone

  • Add the phone number to contact for questions or followup.

Invitation - Contact Email

  • Add the email ID to contact for questions for followup.

Invitation - Special Instructions

  • The information typed here appears on the session email invitation.

Send Email Reminder:

  • When email ID is added to the Session Invitation List, an automated email reminder may be scheduled a specific number of hours or days in advance of the session start date and time.

STEP 2:   Once all of the details have been entered, click the “Create” button. 

STEP 3:   Confirmation message is given.

 


RECURRING SESSIONS

Select “Recurring Session” 

and choose “Weekly”, “Twice a Month”, or “Monthly”.  


Select the day(s).  

 

Based on the parameters specified, one Master Session will be created and Recurring Instances for each day and time within the date range given.

 


Notes:

                • Assets added in the Master Session show in each Recurring Instance.
                • Assets added directly in a single Recurring Instance only show in the session to which it was added.
                • Session Participants are handled within each Recurring Instance.
                • To cancel the recurring series, cancel the Recurring Master.

 


On-Demand Sessions

On-Demand Sessions allow anytime access to the Jigsaw session without the presence of a Host or Current Presenter. This is not a "live" session so collaboration tools are disabled, but all session assets are released to attendees for viewing or download.

To create an On-Demand session choose the "On-Demand". By default, this becomes a 4 pane arrangement as well.
